Privacy Policy
Last updated: October 11, 2026
This Privacy Policy explains what Career Clarity at careerclarity.ai (the "Service"), operated by Mainline Systems LLC, a New Jersey limited liability company doing business as Career Clarity ("Career Clarity", "we", "us"), collects about you, how we use it, who we share it with, how long we keep it, and how you can delete it. It applies to both the self-guided and the coached use of the Service.
Short version: we collect what we need to run your assessments and build your report, we send your answers and resume text to an AI provider to generate that report, we do not sell your data or use it to train AI models, and you can delete everything yourself from your dashboard.
1. What we collect
Account information. Your name and email address, and if you sign in with a provider such as Google, the profile image and account identifier that provider shares. We keep a sign-in session record so you stay signed in. If you buy without an account, we create your account with the email address you give at checkout.
Intake answers. What you tell us about your situation, constraints, and goals in the intake questionnaire, such as age range, education appetite, salary target, location, and things you have ruled out.
Resume. If you upload a resume, we store the original file and the text we extract from it. The extracted text is what the AI uses.
Assessment responses and results. Your item-by-item answers to the two assessments, the scored results, and the type summaries derived from them.
Career Compass selections. The items you select, narrow, and rank in each of the four Career Compass modules.
AI interaction data. The discovery questions you are asked and your answers, the shortlist you react to and your reactions, your forced-choice answers, the generated career profiles and report, and a decision log describing how the AI narrowed your options.
Coaching data (coached clients). Notes, files, and assessment results your coach records about you, and the AI-generated briefs your coach uses to prepare for sessions.
Access code and purchase records. Which access code you redeemed and when. Payment is handled by Stripe, our payment processor; we receive confirmation of payment, the email address you gave at checkout, and a transaction reference, never your full card number.
Technical data. Standard server logs (IP address, request path, timestamp, browser type) kept for security and troubleshooting, and a rate-limit counter keyed to your IP address. We do not use advertising trackers.
2. How we use it
- To run your assessments, score them, and show you your results.
- To build your Career Compass and generate your Career Clarity Report.
- To email you sign-in links, your Career Compass results, and your report.
- To let your coach prepare for and run your sessions (coached clients).
- To secure the Service, enforce rate limits, and investigate abuse.
- To improve the Service. We may review de-identified reports and outcomes to improve prompts and content. We do not use your data to train AI models, and our AI provider does not either under our agreement with them.
We do not sell your personal information, and we do not share it for advertising.
3. AI processing
To generate your discovery questions, shortlist, forced-choice questions, and report, we send the following to Anthropic's API: your assessment results and scores, your Career Compass selections, your intake answers, your discovery and forced-choice answers, and the text extracted from your resume. Anthropic processes this data to return the generated content. Under Anthropic's commercial terms, API inputs and outputs are not used to train their models. See Anthropic's privacy policy for their handling of API data.
Your name and email address are not required for generation; where practical we send only what the AI needs.
4. Who we share it with
We share data only with service providers who process it on our behalf:
- Anthropic (AI generation): assessment results, Compass selections, intake answers, discovery answers, and resume text.
- Amazon Web Services, S3 (file storage): uploaded resume files.
- Resend (email delivery): your email address and the emails we send you, including the report PDF.
- DigitalOcean (hosting and database): all Service data.
- Sign-in providers (Google, and others if enabled): your email address and basic profile.
- Stripe (payment processing): your email address and payment details, which we never see in full.
- Google LLC (site analytics, Google Analytics 4): the pages you visit, events such as completing a step or a purchase (with its amount and our order reference, never your payment details), device and browser information, and the identifiers in the analytics cookies described in section 8.
Coached clients' data is visible to their coach.
We may also disclose data when required by law, to protect the rights and safety of users or the public, or as part of a sale or transfer of the business, in which case this policy continues to apply.
5. How long we keep it
- Resume originals are deleted from file storage 30 days after we extract their text. The extracted text stays with your session so your report can be regenerated or re-sent.
- Everything else (account, intake answers, assessments, Compass selections, AI interaction data, reports) is kept while your account exists so you can return to your results.
- Sign-in links expire after 24 hours; sign-in sessions expire after 30 days of inactivity.
- Server logs are kept for up to 30 days.
- Backups of the database are taken before each release, and only the seven most recent are kept. They are used for disaster recovery only.
6. Deleting your data
You can delete your account and all of your data yourself: open your dashboard, scroll to "Your data", and choose "Delete my account and data". This removes your account, sign-in records, sessions, intake answers, assessments, Career Compass selections, AI interaction data, reports, and uploaded files from our database and file storage. Copies in database backups roll off as new releases ship and older backups are discarded. Emails already sent to you remain in your inbox.
Coached clients can ask their coach to delete their data, or email us at the address below.
Deletion is permanent. Access codes you redeemed cannot be reused after deletion.
7. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict some processing. You can see most of your data on the Service itself and delete it as described above. For anything else, email us and we will respond within 30 days. We will not treat you differently for exercising these rights.
California residents. We do not sell or share personal information as defined by the CCPA, and we have not done so in the preceding 12 months. You may request the categories and specific pieces of personal information we hold about you, request deletion, and request correction, by emailing us. We do not respond to browser "Do Not Track" signals because there is no common standard for them; we do not track you across other sites in any case.
8. Cookies
We use cookies needed to run the Service: a sign-in session cookie for client accounts, a session cookie for coaches, and short-lived cookies used during sign-in.
We also use Google Analytics 4, provided by Google LLC, to understand how people find and use the Service, such as which pages are visited and whether a step of the self-guided journey was completed. Google Analytics sets two first-party cookies: _ga, used to distinguish users, and _ga_<id>, used to persist session state. Each expires after two years by default. Google signals and Google's advertising features are turned off, and we do not use advertising or cross-site tracking cookies.
If your browser sends a Global Privacy Control signal, we tell Google Analytics not to store analytics cookies for your visit. You can also opt out of Google Analytics on every site you visit by installing Google's Google Analytics Opt-out Browser Add-on.
9. Security
Data is encrypted in transit (TLS). Uploaded files are stored in a private, encrypted bucket. Access to the production system is limited to the people who run Career Clarity and protected by keys, not passwords. No system is perfectly secure; if we learn of a breach affecting your data we will notify you as the law requires.
10. Children
The self-guided Service is for adults 18 and over, and we do not knowingly collect data from anyone under 18 through it. Coached clients under 18 participate only with a parent or guardian's consent arranged through their coach. If you believe a minor has created an account without consent, contact us and we will delete it.
11. International users
The Service is operated from the United States and data is stored there. If you use it from outside the U.S., your data is transferred to and processed in the U.S.
12. Changes
We will update the date above when this policy changes and, for material changes, notify account holders by email or in the Service.
